DELOS is an independent arbitration institution accompanying companies and government bodies wishing to use arbitration as a dispute resolution solution. In so doing, DELOS gives its members access to model arbitration clauses, guides and arbitration rules, offers a contract archive service as well as experimented arbitrators, and offers institutional support during the entire procedure.
This section describes the Data processing carried out by DELOS as a data controller in this context.
2.1. Why do we process your data?
The Data of members and potential users is collected and used for the following purposes:
- Communicating with our members and potential users,
- Managing your membership contract,
- Managing registration for our training programs and events,
- Managing registration for our Delos Guide to Arbitration Places (GAP),
- At your specific request, offering a contract archive service,
- Managing our client relationship (billing),
- Complying with legal obligations regarding our members’ contracts,
- Ensuring the exercise and defense of your rights and our rights.
We process your Data based on your consent, which you can withdraw at any time, for communication with members and potential users (i); based on our legitimate interests, particularly for the managing of your membership contract, our training programs and events organization, our GAP organization, the managing of our contract archive service and of our client relationships (ii); and in compliance with legal obligations, for the complying of legal obligations regarding our members’ contracts and the managing of rights requests (iii).

- Managing membership contract: period strictly necessary to the relationships management,
- Billing: 10 years,
- Contract archive service: period of the arbitration procedures.

3. Service providers’ Data, in our professional relationships
DELOS may process its service providers’ Data, in its professional relationships.
This section describes the Data processing carried out by DELOS as a data controller in this context.
3.1. Why do we process your data?
Service providers’ Data is collected and used for the following purposes:
- Managing institutional relationships and soliciting partnerships by e-mail or phone,
- Developing and pursuing our relations with the press,
- Managing the external contributors and organizing their contributions,
- Managing ongoing and future contractual relationships,
- Respecting our accounting obligations,
- Feeding or Arbitrator Database,
- Ensuring the exercise and defense of your rights and our rights.
We process your Data based on the necessity of performing our contracts with service providers (i), based on our legitimate interest in the managing of institutional relationships and partnership solicitations, developing and pursuing our relations with the press, managing of external contributors and organizing their contributions, feeding our Arbitrator Database (ii), and in compliance with legal obligations regarding the managing of rights requests and the respect of our accounting obligations (iii).

Potential users and partner management: 3 years from the last contact with you or until you object.
Client and supplier relationships: Retained for the duration of the business relationship, plus 5 years. Accounting-related data is retained for 10 years.
Data necessary for the defense of our rights: Retained for 5 years in accordance with applicable legal requirements or relevant limitation periods.

4. Job and internships applicants’ Data
DELOS may process any applicants’ Data in its recruitment processes.
This section describes the Data processing carried out by DELOS as a data controller in this context.
4.1. Why do we process your data?
Applicants’ Data is collected and used for the following purposes:
- Analyzing applications,
- Organizing interviews,
- Forming a resume database,
- Ensuring the exercise and defense of your rights and our rights.
We process your Data based on the necessity of performing our contracts with applicants (i), based on applicants’ consent, which they can withdraw at any time, to use their resume and form a resume database (ii), and in compliance with legal obligations regarding the managing of rights requests(iii).
4.2. What categories of data do we process?
DELOS only processes Data strictly necessary to achieve the purposes listed above.
The processed Data are the following:
- identification and contact data (name, surname, e-mail aDelosess, phone number),
- professional contact data (professional e-mail aDelosess, phone number),
- any data shared by applicants in their applications. Only data linked to the job or internship will be demanded (diplomas, experience, soft skills, etc.)

4.3. Who are the recipients of the data?
Your Data may be shared with DELOS’s affiliates, and our technical service providers, including our e-mail service.

Managing job and internship applications and interviews: for the duration of the recruitment process. Up to two years if you were not selected and have agreed to retain your CV.
Data necessary for the defense of our rights: Retained for 5 years in accordance with applicable legal requirements or relevant limitation periods.
Data may be retained for a longer period if required or permitted under a legal, contractual, fiscal, or social obligation.
Under Articles 15 to 22 of the GDPR, you have the following rights regarding the processing of your Data, subject to legal limitations:
- Right of access: Obtain information and a copy of your Data.
- Right to information: Obtain details on processing conditions (recipients, purposes, categories of data, etc.).
- Right to rectification: Correct or update your Data when inaccurate or incomplete.
- Right to object: Object to processing for reasons related to your situation or withdraw consent.
- Right to restriction: Request temporary limitation of processing.
- Right to erasure: Request the deletion of your Data.
